Minutes Of Extraordinary General Meeting 2018
Meeting held at Beversbrook Sports Facility, on 21st May 2018
Members present:- Dennis Price, Ann Tubb, Pete Evans, Mark Somerville, Mike Taylor, David Webb, David Evans, Marl Briscoe, Malcolm Parrack, John Winchester, Judy Winchester, Clare Merritt, Andrew Hogarth, Simon Hughes, Ivor Griffiths, Geoff Hawkins, Mike Thomas.
No apologises received.
Geoff Hawkins addressed the Club stating that he was no longer able to continue as Chairman or the other rolls which he had taken on of projectionist and running the monthly competitions.
The following positions needed filling:- Chairman, Vice Chairman, Competition Secretary, Projectionist and Equipment Officer.
If no one was forthcoming the question was asked if the Club could reconvene in Sept but Geoff said not without a Chairman adding that planning a future programme involves contacting speakers and judges which in turn needs a committee. Geoff also explained the technicalities of how competition entries are compiled for presentation on the night.
Geoff stated that new data protection rules come into effect on 21st May and he was prepared to e-mail members with a message of compliance.
Concern was raised about the suitability of the venue regarding time constraints. Mike Thomas confirmed that we are currently charged £30 for two hours (£25+vat).
Geoff asked for a show of hands if members wished the Club (which was formed in the 70’s) to continue and received a unanimous positive response.
David Evans agreed to become Chairman on the condition that a vice chairman was elected to support him, a post not previously filled. Mark Somerville agreed to support David in the roll of Vice Chairman. David Evans was proposed by Mark Briscoe and seconded by Pete Evans. Mark Somerville was proposed by Geoff Hawkins and seconded by Pete Evans.
Andrew Hogarth agreed to be the club projectionist. He was proposed by David Evans and seconded by John Winchester. Dennis Price agreed to take on the roll of equipment officer excluding the projector and Geoff Hawkins was willing to continue his roll of club contact and running the web page. During the coming months the important position of Competition Secretary remains to be filled.
David Evans took the Chair and a vote of thanks was given to Geoff Hawkins for all his hard work and efforts in running the club.
A presentation of the Pete Muckle Trophy was made to Judy Winchester for having the most popular Print at last October’s Photofest Exhibition as voted for by the viewing public.
Regarding future internal competitions it was agreed to keep the ratio of projected and print evenings the same at three projected to one print event. Members agreed in future to have only one tier of entry.
John Winchester said that he had a programme arranged for June and it was decided that the Club would not meet during July and August and then reconvene on Monday 3rd Sept.
Mike Thomas reported that we had £496 in the bank and it was agreed not to collect annual membership fees until September.
David Evans confirmed that the Club has a closed Facebook site and it was agreed this would be a good place to promote the Club and also for members to suggest or arrange impromptu external photographic gatherings.
